CoSIDA BOARD MINUTES
October 21, 2004
I. President Rod Commons (Washington State) checked the role and asked the vice presidents for their reports. First Vice President Joe Hernandez could not on the call.
II. Second Vice President Doug Dull (Maryland) reviewed the Philadelphia Workshop schedule. He said letters were ready to go out to sponsors.
- Dull said a reception at Franklin Institute was possible on Sunday. Director of Marketing Ed Carpenter (Boston Univ.) said he would need to speak to potential sponsors before finalizing plans.
- He said the feeling of his committee was to break early Monday so members could participate in July 4 activities. He said an early social function was a possibility as well.
- He said they were continuing to look at a Farewell Party would have to have a sponsor. He said they hoped they could get a combination of sponsorship from Philadelphia and 2006 host Nashville.
- Dull said they were continuing to explore the possibility of an Academic All-America Hall of Fame dinner on the Saturday night prior to the Workshop. Carpenter said he would talk to ESPN about possible involvement. There was discussion and everyone agreed that whether the the event was a reception or dinner, the expenses of honorees needed to be covered. The officers also felt that a committee needed to be formed to develop a plan for the Hall of Fame function. Past Presidents Alan Cannon and Tammy Boclair were suggested with their recent involvement in the event.
- Also, with CoSIDA taking over the Hall of Fame, a selection process needs to be developed. There was discussion as to whether this should be under the Special Awards Committee. Commons said there needs to be discussion with AAA committee chair Dick Lipe to get his input.
III. Third Vice President Charles Bloom (Southeastern Conference) said the nomination forms for the 2005 CoSIDA awards are on the website and in the November Digest. Treasurer Dave Wohlhueter (Ithaca, N.Y.) asked about the Academic All-America Awards being put under the Special Awards Committee. There was discussion that the board made a recommendation at the Calgary Workshop to look at including the Lester Jordan Award under the Special Awards Committee, but no further action has been taken.
IV. Carpenter gave his marketing report.
- He said a check from CIS was on the way to Wohlhueter.
- The officers also discussed signing the contract with ESPN as changed and presented on October 14 and felt CoSIDA was ready to move forward in signing the contract.
- Carpenter said he had talked with SportsSystems about possible future involvement with CoSIDA. He also said that ICS was interested in a new three-year contract to continue to provide CoSIDA's on-line services. Carpenter said he wanted to explore the possibilities of increasing the value of an association as the exclusive rights holder for technology. Wohlhueter said with the current budget situation, there is a need to develop new sponsorships that provide cash income for CoSIDA and not just trade-offs for services.
- There was discussion about the proposed on-line voing process for the Academic All-America program. It was suggested that board members Nick Joos and Blake Timm assist with the process - as board members and members of the AAA Committee.
V. Wohlhueter said memberships were coming in steadily. He said Boclair had forwarded a budget and bills from Millsport for the Academic All-America dinner that was for approximately $21,000. She said there were also some additional expenses involved with the dinner that she would forward to Wohlhueter.
VI. Secretary Jeff Hodges (North Alabama) said the 2004-05 directories were in the mail. He said the November Digests were also in from Multi-Ad and were also in the mail.
- He said he had not received information from the Publications Committee about the 2004-05 contests and said that committee chairman Matt Newbery (MIAA) had indicated he was having difficulty finding judges for many of the contests. Commons said board liaison John Arenberg should contact Newbery and see what the board can do to assist.
VII. Director of On-Line Services Maxey Parrish (Waco, Texas) was not on the call but had provided a brief written report to the board that Commons read.
VIII. There was no old business.
IX. Under new business, there was discussion of exhibitors costs. Wohlhueter said he wanted to talk to Workshop Exhibitors Coordinator Paul Allan (Minnesota State-Mankato) and would report back to the board.
X. Commons discussed blast emails to the membership - when should they be used and what policy would govern its use? He said he would contact Jeff Rubin at ICS and Parrish about the issue and also talk to Arenberg, the board liaison to the Computer Committee. Commons said he would like to see regular emails go out to drive traffic to the CoSIDA website.
XI. Dennis O'Donnell had asked the officers to consider instant feedback methods at the workshop. The feeling was that having panel attendees fill out a form before leaving the room would hinder the post-panel discussion and was not well received. This didn't rule out other possible methods of obtaining feedback.
