In a discussion taped on December 14, 2020, these communications leaders from NCAA Division I, II and III and the NAIA explored the hot-button issues and crisis planning facing athletic communicators right now as we all face (daily) disruptions and sudden changes to our sports schedules. The panel covered lots of territory and offered strategies to “adjust on the fly” to cancelations, opponents which are changed at the last minute due to COVID protocols, scheduling multiple events in the same day, the art of messaging and communicating to all constituents on all your platforms as the information changes rapidly, and so much more.
They discussed:
- Things to remember as you plan and coordinate your messaging about breaking news concerning event changes, additions and cancelations; this includes important steps in working the opponent on announcements, timing, wording, etc.
- The importance of having a good rapport and trust built with your coaching staffs.
- How to best communicate with coaches so you know early in the process that there may be a change/addition and to keep everyone in a consistent messaging style
- Who are your go-to people for staffing when you have to scramble? How do you build those connections with SIDs at other schools or your own department staff who may be able to help in a pinch?
- How to involve IT/facilities/events personnel in the planning and ways to keep communications flowing with them
- The importance of establishing a solid line of communication and great collaboration between the conference office and the athletic department when it comes to schedule/competition changes, with examples offered
- Website updates/social media updates: What's the plan? Who handles what? How do you work with your university communications staff on all these rapid changes?
- Ideas and suggestions on how to help SIDs stay mentally, physically and emotionally sharp and lower stress levels during this unprecedented time
- Final takeaways and “lessons learned” on how athletic communicators can best prepared to do this crisis planning
